Conference Schedule

Participants should register at hotel on Monday July 21st afternoon.
The opening session is scheduled to take place on Tuesday July 22nd at 8:30.
The conference will end on Friday July 25th at 16:30, allow enough time to catch domestic flights to Hanoi and Hochiminh
Session hours are 8:30 - 12:00 and 13:30 - 17:00
All sessions will be held in the ICISE Center, 07 Science avenue, Ghenh Rang ward, Quy Nhon. See the map HERE

Conference facilities

The following equipment will be available:
video projector for computer presentations, overhead projector,internet access will be available at the conference site and at the hotel. A wireless hub is installed and covers the whole conference building.

Accommodation

Accommodation is in the four-star Seagull hotel in Quy Nhon. The 4 night package for conference accommodation (including breakfast, lunch an dinner) is 235 USD for a double or sharing room; 345 USD for a single room. Additional day (before and after the confernce) cost is 130 USD for a double or sharing room (2 persons) and 90 USD for a single room. All sessions will be held in the ICISE center, 14 minutes by taxi (or one hour walk) away from the hotel. (you can visualise it on this map). Daily bus transfer (morning and end afternoon) will be provided by the conference organization.
Participants will be expected to arrive on Monday, July 21st, and will leave on Friday, July 25th in the late afternoon or later.
Breakfast will be served in the hotel for all participants. Lunch and dinner will be served at ICISE (with few exceptions at a downtown restaurant).

Financial Support

Some limited accommodation funds may be available for young scientists from developing countries and from Eastern European countries. The grant application form for financial support should be filled in (including a short resume) and submitted. A letter of recommendation should be sent to:

Travel

There are two main international airports in Vietnam : Hanoi (Noi Bai airport : HAN) and Ho Chi Minh(Tan Son Nhut airport : SGN).

In order to welcome you and organize your transfer from Quy Nhon airport to the conference hotel, please inform the conference secretariat (rencontres.vietnam@gmail.com) at least two weeks in advance of your flight number as well as the date and the arrival time in Quy nhon.
Conference buses will be available at Quy Nhon airport on Monday July 17th (morning and afternoon flights). Conference supporters will be present at the Quy Nhon airport on Monday July 21st for assistance.

Immigration / VISA

We list here some rules as they applied in summer 2024: we will strive to update these informations regularly, but you should make sure they indeed apply to July 2025 before traveling.

Immigration

All participants do require a visa to visit Vietnam, except for few exemptions listed below. Vietnam Visa exemption is granted to holders of a passport from:

  • Thailand, Malaysia, Singapore, Indonesia, Cambodia and Laos for visits of 30 days at the maximum.
  • Philippines for visits of 21 days at the maximum.
  • Japan, South Korea, Sweden, Norway, Denmark, Russia, Finland, France, Germany, Italy, Spain, United Kingdom, Belarus, Northern Ireland for visits of 45 days at the maximum.

To obtain a visa

  • You may apply for a conference visa through the Internet:e-visa
    • while filling up the form, on the item "purpose of entry" you should select "summit, conference"
    • the e-visa is generally obtained in 4 working days and valid for 90 days. Beyond this delay, you should check your application status by following the instructions indicated on the e-visa application webpage.
    • your passport should be valid for a minimum of 6 months following your anticipated depature date from Vietnam
    • the e-visa cannot be renewed nor extended
    • it costs 25 USD not refundable even when the visa is refused
  • Note : if you want to apply for a conference visa at the Vietnamese Consulate of your residence country instead of applying for a conference evisa online, you should first get a "visa approval letter", which has to be requested for you by the conference organiser. So you should ask for it as soon as possible, and this at the latest on June 20th, to the conference secretariat (it may take 2-3 weeks and will cost 120 USD to be paid at registration, the first day of the conference). Then you will be able to get the actual visa at your nearest vietnamese consulate (within a few days - 3 to 6).
